Administrative Assistant
We are looking for a meticulous Administrative Assistant to join our team on a contract basis in Malden, Massachusetts. This role is pivotal in ensuring the smooth functioning of daily office operations and providing exceptional support to team members and clients.<br><br>Responsibilities:<br>• Handle incoming phone calls with care and direct inquiries to the appropriate departments.<br>• Perform accurate data entry tasks to maintain and update records.<br>• Organize and manage administrative files and office documentation.<br>• Greet visitors and clients, ensuring a welcoming and organized environment.<br>• Assist in scheduling meetings and maintaining calendars for team members.<br>• Support various office activities, including preparing correspondence and reports.<br>• Coordinate with internal teams to ensure efficient workflow and communication.<br>• Monitor office supplies and place orders as needed to maintain inventory.<br>• Manage routine receptionist duties, including handling mail and deliveries.<br>• Uphold confidentiality and ensure sensitive information is securely managed.
• Proven experience in administrative assistance or a related role.<br>• Strong proficiency in data entry and maintaining accurate records.<br>• Excellent communication skills, both written and verbal.<br>• Ability to multitask and prioritize tasks effectively in a fast-paced environment.<br>• Proficiency with office software such as Microsoft Office Suite.<br>• Exceptional organizational skills and attention to detail.<br>• Detail-oriented approach and ability to interact with clients and team members.<br>• High level of discretion when handling confidential information.
