Receptionist
We are looking for an organized and personable Receptionist to join our team on a contract basis in Pomona, California. This role is essential in ensuring smooth daily operations and providing excellent communication support within a non-profit environment. You will serve as the first point of contact for residents, visitors, and staff, creating a welcoming and detail-oriented atmosphere.<br><br>Responsibilities:<br>• Oversee the reception area to ensure it remains organized, functional, and welcoming for residents, staff, and visitors.<br>• Communicate effectively with residents and staff, distributing notices and updates from various departments.<br>• Coordinate maintenance schedules for office equipment and handle administrative tasks like processing invoices and filing documents.<br>• Input facility work orders into the maintenance system to ensure timely handling of requests.<br>• Prepare and maintain accurate records, including Resident Information Sheets, Absentee Notices, and other essential forms.<br>• Manage incoming calls and inquiries, providing helpful information or routing them to appropriate personnel.<br>• Assist in sorting and distributing mail to residents and departments.<br>• Foster a hospitable environment by addressing resident and visitor needs promptly and efficiently.<br>• Collaborate with department heads and vendors to ensure smooth operations across the facility.
• Proven experience in a receptionist or front desk role is preferred.<br>• Exceptional communication and interpersonal skills to interact effectively with a diverse group of individuals.<br>• Strong organizational skills with attention to detail and accuracy.<br>• Proficiency in office software applications and maintenance tracking systems.<br>• Ability to multitask and remain composed in a dynamic, fast-paced environment.<br>• Commitment to providing excellent service and maintaining a welcoming atmosphere.<br>• Familiarity with administrative tasks such as filing, scheduling, and record-keeping.<br>• Dedication to supporting the operational needs of a non-profit organization.
