Executive Assistant
<p>We are looking for a detail-oriented and organized Operations Administrative Assistant to join our team in Jamaica Plain, Massachusetts. This Contract position will last for 3-5 months and involves providing comprehensive administrative support to the organization’s leadership and board members. The ideal candidate will have strong multitasking abilities and a commitment to maintaining confidentiality while ensuring smooth daily operations.</p><p><br></p><p>Responsibilities:</p><p>• Deliver administrative support to board members and committees by managing schedules, coordinating meetings, and preparing necessary materials.</p><p>• Facilitate department needs by organizing meetings, placing catering orders, and ensuring logistical arrangements.</p><p>• Process payments for rent and childcare services in a timely and accurate manner.</p><p>• Oversee the upkeep of common areas such as kitchens, conference rooms, and storage spaces, ensuring they remain organized and functional.</p><p>• Maintain general office order, ensuring spaces are free from clutter and ready for daily use.</p><p>• Set up audio and visual equipment for meetings, presentations, and training sessions.</p><p>• Handle confidential information with utmost discretion and professionalism.</p><p>• Record and prepare detailed minutes during monthly staff meetings.</p><p>• Manage office equipment by performing preventive maintenance, arranging repairs, and keeping inventory updated.</p>
• Proven experience in administrative roles, particularly supporting executives or board members.<br>• Proficiency in Microsoft Office Suite, Teams, DocuSign, and Zoom.<br>• Strong communication skills with the ability to interact professionally with staff, vendors, and tenants.<br>• Ability to handle sensitive information with confidentiality and discretion.<br>• Experience in managing vendor relationships and overseeing office supplies and maintenance.<br>• Skilled in customer service and receptionist duties, including managing incoming mail and inquiries.<br>• Exceptional organizational skills with the ability to prioritize tasks effectively.<br>• Familiarity with setting up and troubleshooting audio-visual equipment for meetings.
