Receptionist
We are looking for a dedicated Receptionist to join our team at a non-profit organization in Pomona, California. As the first point of contact for residents, visitors, and staff, you will play a vital role in maintaining a welcoming and organized environment. This is a Contract position, offering an opportunity to contribute to the smooth operation of our retirement home.<br><br>Responsibilities:<br>• Oversee the daily operations of the reception area, ensuring clear and attentive communication with residents, staff, visitors, and vendors.<br>• Distribute notices and updates from internal departments to ensure timely communication across the facility.<br>• Coordinate office equipment maintenance and handle administrative tasks, including reviewing, routing, copying, and filing invoices.<br>• Input facility work orders into the maintenance tracking system to ensure efficient processing of requests.<br>• Prepare and maintain accurate documentation such as Resident Information Sheets, Absentee Notices, Resident Action Forms, and the Resident Away list.<br>• Answer inbound calls, address inquiries, and direct calls to the appropriate departments.<br>• Deliver incoming mail and packages to residents and staff promptly and accurately.<br>• Foster a hospitable and organized environment for all residents and guests.<br>• Collaborate with various departments to support operational needs and ensure seamless communication.
• Strong interpersonal and communication skills to interact effectively with diverse groups.<br>• Exceptional organizational abilities with keen attention to detail.<br>• Proficiency in office software and familiarity with maintenance tracking systems.<br>• Ability to multitask and remain composed in a fast-paced environment.<br>• Previous experience in a reception or front desk role is highly preferred.<br>• Commitment to creating a welcoming and detail-oriented atmosphere.<br>• Capability to manage administrative tasks efficiently and accurately.<br>• Willingness to support the needs of residents, staff, and visitors.
