Front Desk Coordinator
We are looking for an organized and personable Front Desk Coordinator to join our team in Rancho Cucamonga, California. In this contract role, you will serve as the first point of contact for visitors and assist with a variety of administrative tasks to ensure smooth daily operations. This position offers the opportunity to engage with prospective students, parents, and other guests in a university setting.<br><br>Responsibilities:<br>• Welcome and direct all visitors, including parents, prospective students, and other guests, ensuring a positive first impression.<br>• Provide support for special events by coordinating logistics such as ordering food, arranging transportation, and facilitating setup and cleanup.<br>• Manage mail handling processes and maintain appointment schedules efficiently.<br>• Assist the admissions team by organizing tour schedules and providing related administrative support.<br>• Coordinate high school bus tours, including scheduling demonstrations, arranging campus visits, and addressing admissions-related inquiries.<br>• Operate a multi-line phone system to answer and direct inbound calls professionally.<br>• Ensure concierge-level service by addressing visitor needs promptly and effectively.<br>• Maintain a friendly and outgoing demeanor to represent the organization positively.<br>• Adapt to varying schedules and workflows based on class cycles and operational needs.
• Proven experience in receptionist or front desk roles, preferably in an educational or similar environment.<br>• Proficiency in using multi-line phone systems and handling inbound calls.<br>• Strong computer skills, including proficiency in Excel and other administrative tools.<br>• Excellent organizational and multitasking abilities to manage schedules and event logistics.<br>• Friendly and detail oriented demeanor with excellent interpersonal skills.<br>• Bilingual language skills are preferred to enhance communication with diverse groups.<br>• Ability to adapt to changing schedules and operational needs.<br>• Previous experience coordinating tours or event logistics is a plus.
