Executive Assistant
We are looking for an experienced Executive Assistant to join our team in New Rochelle, New York. This is a long-term contract position, offering an exciting opportunity to support senior leadership with high-level administrative tasks. The ideal candidate will be proactive, detail-oriented, and skilled at anticipating needs to ensure smooth operations and organizational efficiency.<br><br>Responsibilities:<br>• Manage and coordinate schedules, calendars, and appointments to ensure seamless time management.<br>• Prepare and distribute meeting agendas, take detailed notes, and follow up on action items.<br>• Organize and maintain filing systems, documents, and office resources for optimal accessibility.<br>• Collaborate with vendors, staff, and external partners to facilitate communication and resolve issues.<br>• Provide project support by assisting with planning, tracking deadlines, and ensuring progress.<br>• Utilize Google Suite tools, including Sheets and Calendar, for administrative and organizational tasks.<br>• Ensure the office operates efficiently by anticipating needs and addressing them proactively.<br>• Maintain discretion and confidentiality when handling sensitive information.<br>• Assist with recruitment-related tasks, such as scheduling interviews and organizing candidate documentation.<br>• Support conference calls and correspondence to maintain effective communication channels.
• Proven experience as an Executive Assistant or in a similar administrative role.<br>• Proficiency in Google Suite applications, including Sheets, Calendar, and Docs.<br>• Strong organizational skills with the ability to manage multiple tasks and priorities.<br>• Excellent written and verbal communication skills.<br>• Ability to exercise discretion and maintain confidentiality in all matters.<br>• Detail-oriented and proactive, with the ability to anticipate needs and solve problems.<br>• Familiarity with recruitment processes is a plus but not mandatory.<br>• Capability to work independently and collaborate effectively with diverse teams.
