Administrative Assistant
<p>We are looking for a skilled Administrative Assistant to join our team in Los Angeles, California. In this long-term contract position, you will play a vital role in ensuring operational efficiency and supporting various administrative functions. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and demonstrates exceptional organizational skills.</p><p><br></p><p>Responsibilities:</p><p>• Coordinate schedules by organizing appointments and dispatching technicians to optimize productivity.</p><p>• Create, manage, and update work orders while maintaining clear communication with customers and technicians.</p><p>• Ensure completion of work orders by reviewing technician notes and addressing any pending tasks.</p><p>• Prepare and process contract and quality control paperwork in compliance with company standards.</p><p>• Arrange subcontractor schedules and oversee technician paperwork for accuracy and timeliness.</p><p>• Monitor inventory levels and conduct physical inventory checks to ensure resource availability.</p><p>• Order and distribute materials and equipment to technicians, ensuring seamless operations.</p><p>• Generate daily reports on activities and assist in coordinating tasks like scheduling and procurement.</p><p>• Act as a liaison between sales teams, project managers, and technicians to facilitate smooth communication.</p><p>• Handle billing for service and inspection jobs while assisting the sales team in timely job scheduling.</p>
• High school diploma or GED is required.<br>• Minimum of three years of administrative experience in a sales or service industry.<br>• Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.<br>• Strong organizational skills with excellent attention to detail and decision-making abilities.<br>• Effective oral and written communication skills in English.<br>• Ability to analyze data, interpret information, and escalate issues when necessary.<br>• Experience in dispatching and scheduling is essential.<br>• Must demonstrate discretion and problem-solving skills in daily tasks.
