Administrative Assistant
We are looking for a motivated and organized Administrative Assistant to join our team in Chester, New Jersey. This is a Contract-to-permanent position with opportunities for growth within the mortgage and real estate industry. The ideal candidate will play a pivotal role in ensuring smooth office operations and providing exceptional support to our team and clients.<br><br>Responsibilities:<br>• Serve as the first point of contact at the front desk, welcoming visitors and directing them appropriately.<br>• Handle daily administrative tasks such as printing, copying, scanning, and managing mail.<br>• Assist with organizing real estate closings by preparing and distributing closing packets.<br>• Ensure timely delivery of packages and mail to the correct recipients.<br>• Maintain office supplies, snacks, and kitchen needs to ensure a well-stocked and organized workspace.<br>• Coordinate travel arrangements and plan for employees visiting the office.<br>• Support social media efforts, including posting updates related to real estate closings.<br>• Take initiative to learn and adapt to new responsibilities as they arise.<br>• Uphold discretion and confidentiality when handling sensitive financial information.<br>• Represent the company professionally during interactions with attorneys and clients at closings.
• Minimum of 1 year of administrative or office support experience.<br>• Ability to manage multiple tasks across mortgage and title company operations.<br>• Eagerness to learn new skills and grow within the company.<br>• Strong organizational and time management capabilities.<br>• Quick learner with the ability to adapt to new software systems within a short timeframe.<br>• Comfortable working in a fast-paced and time-sensitive environment.<br>• Excellent communication skills and a detail-oriented demeanor.<br>• Proficient in Microsoft Office applications such as Outlook and Teams; training provided for industry-specific software.
