Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to provide essential support to the General Manager overseeing multiple properties. In this Contract position, you will play a critical role in ensuring seamless operations by managing tenant relations, coordinating property processes, and handling day-to-day administrative tasks. This role is based in Newark, New Jersey.<br><br>Responsibilities:<br>• Serve as the primary point of contact for tenants, addressing inquiries and concerns in an efficient and timely manner.<br>• Coordinate move-in and move-out processes, ensuring all documentation and logistics are handled efficiently.<br>• Manage incoming calls, take messages, and direct communications appropriately.<br>• Perform data entry tasks with a high level of accuracy to maintain organized records.<br>• Assist with general office duties, including scheduling meetings, preparing reports, and maintaining filing systems.<br>• Support the General Manager in overseeing the operational needs of three properties.<br>• Ensure smooth communication between tenants and property management teams.<br>• Provide receptionist duties, such as greeting visitors and managing front-desk operations.<br>• Monitor and replenish office supplies to maintain a productive work environment.
• Proven experience in administrative assistance, preferably in property management or a related field.<br>• Strong organizational skills with the ability to multitask and prioritize effectively.<br>• Excellent verbal and written communication skills.<br>• Proficiency in data entry and familiarity with office software.<br>• Customer-service orientation with a detail-oriented approach.<br>• Ability to handle confidential information with discretion.<br>• Experience answering inbound calls and managing receptionist tasks.<br>• High school diploma or equivalent; additional qualifications in office administration are a plus.
