Sr. Administrative Assistant
We are looking for a highly skilled and resourceful Sr. Administrative Assistant to support key functions in a dynamic wholesale distribution environment. This long-term contract position, based in Edison, New Jersey, requires an individual with strong attention to detail who can manage multiple priorities while maintaining a high level of discretion. The role offers a hybrid schedule, with four days onsite and one day remote, and provides an excellent opportunity to contribute to the smooth operation of leadership activities and customer-facing initiatives.<br><br>Responsibilities:<br>• Coordinate and manage logistics for leadership meetings, including scheduling, documentation, communication, and resource distribution.<br>• Maintain and update databases related to customer satisfaction projects, collaborating with internal teams and external vendors as needed.<br>• Handle administrative tasks such as gift card fulfillment, complaint tracking, and responding to correspondence from government agencies.<br>• Oversee office organization, including supply inventory management and assisting with onboarding processes for new employees.<br>• Manage calendars, schedule appointments, and organize conference calls to ensure seamless communication and time management.<br>• Arrange domestic and international travel plans, including booking flights, accommodations, and preparing detailed itineraries.<br>• Prepare and process export and import documents, ensuring compliance with all relevant regulations.<br>• Provide accurate and timely administrative support to leadership teams, ensuring confidentiality and precision.<br>• Assist with special projects that may require occasional evening or weekend work.<br>• Contribute to the overall efficiency of the office by identifying areas for improvement and implementing solutions.
• Proven experience in an administrative or executive support role, with a preference for backgrounds in retail or customer service.<br>• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.<br>• Strong organizational skills with the ability to prioritize tasks and meet deadlines with minimal supervision.<br>• Excellent written and verbal communication abilities; bilingual skills are an asset.<br>• Demonstrated professionalism and discretion when handling sensitive and confidential information.<br>• Flexibility to occasionally work evenings or weekends to meet project deadlines.<br>• Familiarity with export and import documentation processes is a plus.<br>• Ability to adapt to a fast-paced environment and maintain a high level of accuracy under pressure.
