Executive Assistant
<p>We are seeking a highly organized and proactive <strong>Executive Assistant</strong> to support multiple senior leaders. This long-term contract role requires excellent organizational skills, the ability to manage multiple priorities, and a high level of professionalism. The ideal candidate will thrive in a fast-paced environment and play a key role in ensuring smooth day-to-day operations.</p><p><br></p><p><strong>Key Responsibilities</strong></p><ul><li>Manage complex calendars and coordinate meetings across multiple time zones.</li><li>Prepare and submit accurate expense reports in compliance with company policies (experience with tools such as Concur is a plus).</li><li>Arrange domestic and international travel, including flights, accommodations, itineraries, and ground transportation.</li><li>Support onboarding by coordinating workspace setup, account access, and orientation schedules for new team members.</li><li>Oversee general office operations, including supplies, mail distribution, and administrative support needs.</li><li>Prepare and format presentations, reports, and meeting materials for executives and stakeholders.</li><li>Serve as a primary point of contact, ensuring clear, professional communication between executives and internal/external partners.</li><li>Provide high-level administrative support while maintaining confidentiality of sensitive information.</li><li>Anticipate executive needs and proactively address scheduling and administrative challenges.</li></ul>
<p><strong>Qualifications:</strong></p><ul><li>Minimum of 3-5 years of experience in an Executive Assistant or administrative support role</li><li>Strong proficiency in Microsoft PowerPoint, with demonstrated experience creating board-level presentations</li><li>Solid knowledge of the Microsoft Office Suite, including a strong understanding of Excel</li><li>Familiarity with Concur or similar expense reporting tools (preferred but not required)</li><li>Excellent organizational, multitasking, and time-management skills</li><li>Strong written and verbal communication abilities</li><li>Tech-savvy and comfortable learning new systems and software</li><li>High degree of professionalism, discretion, and a proactive, can-do attitude</li></ul><p><br></p>
