Executive Assistant
<p>We are looking for an experienced and detail-oriented Junior Executive Assistant to provide comprehensive support to the President of our organization. This role requires a proactive individual who thrives in a fast-paced environment and can manage multiple tasks with precision and discretion. Based in Huntington Beach, California, this is an in-office position and long-term contract opportunity.</p><p><br></p><p>Responsibilities:</p><p>• Oversee calendar management, ensuring all appointments and meetings are scheduled and conflicts are resolved efficiently.</p><p>• Coordinate and arrange travel plans, including booking flights, accommodations, and transportation.</p><p>• Serve as the first point of contact by greeting visitors and managing front desk responsibilities.</p><p>• Handle digital filing and maintain organized records for easy access and retrieval.</p><p>• Provide comprehensive back-office support, including managing office supplies and overseeing general office operations.</p><p>• Prepare for executive meetings by organizing agendas, taking minutes, and following up on action items.</p><p>• Utilize QuickBooks Online to assist with basic financial tasks and reporting.</p><p>• Use Office Suite and SharePoint to create, edit, and manage documents and presentations.</p><p>• Work independently to manage tasks and meet deadlines in a fast-paced environment.</p>
<p>• Proven experience as a Junior Executive Assistant or in a similar administrative role.</p><p>• Proficiency in QuickBooks Online, Microsoft Office Suite, and SharePoint.</p><p>• Strong organizational skills with the ability to prioritize tasks and manage time effectively.</p><p>• Exceptional attention to detail and accuracy in all aspects of work.</p><p>• Excellent communication skills, both written and verbal.</p><p>• Ability to work independently and maintain a high level of confidentiality.</p><p>• Familiarity with travel coordination and calendar management.</p><p>• Detail-oriented demeanor and ability to adapt to a business casual work environment.</p>
