Administrative Assistant
We are looking for a skilled and proactive Administrative Assistant to join our team in Thousand Oaks, California. In this long-term contract role, you will play a vital part in ensuring smooth day-to-day operations by providing comprehensive administrative support to department leaders and teams. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a dynamic environment.<br><br>Responsibilities:<br>• Manage and coordinate calendars, appointments, and meetings for team leaders and members.<br>• Prepare, proofread, and edit various documents, including presentations, reports, and spreadsheets.<br>• Organize and maintain filing systems for both digital and physical records.<br>• Arrange travel logistics, including itineraries and expense report submissions.<br>• Facilitate onboarding for new employees by setting up workspaces, managing forms, and scheduling activities.<br>• Assist in planning and coordinating meetings, events, training sessions, and team-building activities.<br>• Oversee office supply inventory and ensure equipment is properly maintained.<br>• Monitor and process invoices, purchase orders, and department budget records.<br>• Serve as a point of contact between departments, employees, and external partners.<br>• Uphold confidentiality standards when managing sensitive information.
• Minimum of 2 years of experience in administrative support roles.<br>• Strong skills in scheduling, data entry, and general office coordination.<br>• Proficiency in handling inbound calls and providing receptionist duties.<br>• Ability to manage multiple priorities and tasks with a high level of accuracy.<br>• Familiarity with travel arrangements and expense report preparation.<br>• Excellent communication and interpersonal skills.<br>• Competency in using office software and tools for document management.<br>• Proven ability to maintain confidentiality and handle sensitive information.
