We are looking for a dedicated Administrative Assistant to join our team in San Diego, California. As the first point of contact for clients, you will play a vital role in ensuring smooth office operations and delivering exceptional service. This is a contract position ideal for someone who thrives in a fast-paced environment and excels in multitasking.<br><br>Responsibilities:<br>• Welcome clients with warmth as they arrive at the office.<br>• Manage the scheduling and organization of the conference room calendar.<br>• Scan, upload, download, and organize documents efficiently, focusing on digital file management.<br>• Utilize secure platforms like ShareFile to handle document sharing and storage.<br>• Perform light office tasks, such as tidying up meeting spaces and occasional errand runs.<br>• Maintain a detail-oriented approach in appearance, communication, and behavior.<br>• Collaborate with administrative staff and report directly to the Administrative Assistant.<br>• Follow established procedures and ask clarifying questions when needed.<br>• Handle multiple priorities and deadlines effectively during busy periods, such as tax season.
• At least three years of experience in an administrative or office support role.<br>• Exceptional customer service skills with a friendly and approachable attitude.<br>• Proficiency in Microsoft Word and Excel, along with general computer literacy.<br>• Comfortable working with scanners, digital filing systems, and secure document platforms.<br>• Tech-savvy with a strong understanding of data security and phishing prevention.<br>• Highly organized, detail-oriented, and dependable.<br>• Ability to remain calm and focused under pressure and in high-volume situations.
