Administrative Assistant
We are looking for an experienced Administrative Assistant to join our team on a contract basis in Roxbury, Massachusetts. The ideal candidate will provide essential support to ensure smooth daily operations while maintaining a high level of organization and professionalism. This role requires strong communication skills, including fluency in Spanish, and the ability to efficiently handle administrative tasks in a dynamic environment.<br><br>Responsibilities:<br>• Manage and organize work orders to ensure timely completion and accurate tracking.<br>• Operate a multi-line switchboard to professionally field incoming calls and direct them to the appropriate departments.<br>• Maintain detailed records and documentation for administrative processes.<br>• Coordinate schedules, meetings, and appointments to optimize team workflow.<br>• Provide general clerical support, including data entry, filing, and correspondence.<br>• Assist in maintaining office supplies and inventory to support operational needs.<br>• Communicate effectively in Spanish and English, both verbally and in writing, to support diverse interactions.<br>• Collaborate with team members to ensure seamless coordination across departments.<br>• Handle confidential information with discretion and professionalism.<br>• Perform additional administrative tasks as required to support the team.
• Proven experience in an administrative or clerical role.<br>• Proficiency in operating multi-line phone systems.<br>• Strong organizational skills and attention to detail.<br>• Fluency in Spanish and English, both written and spoken.<br>• Ability to manage multiple tasks efficiently and prioritize effectively.<br>• Proficiency with common office software and systems.<br>• Excellent communication and interpersonal skills.<br>• High level of discretion and professionalism when handling sensitive information.
