Administrative Assistant
We are looking for a detail-oriented and reliable Administrative Assistant to join our team in Minneapolis, Minnesota. This is a Contract position within a non-profit organization dedicated to closing the achievement gap and addressing multigenerational poverty through education. The role involves providing comprehensive administrative support while ensuring smooth front desk operations and assisting HR and Development teams.<br><br>Responsibilities:<br>• Welcome visitors and direct them to the appropriate person or office while maintaining an organized and tidy reception area.<br>• Manage incoming and outgoing mail and packages, ensuring timely distribution and accurate documentation.<br>• Order office supplies and monitor inventory to ensure the workspace remains well-stocked and functional.<br>• Assist with maintaining building security by monitoring access, overseeing logbooks, and supporting safety procedures.<br>• Schedule and coordinate meetings, including updating calendars and ensuring meeting spaces are prepared.<br>• Support HR initiatives by handling employee records, coordinating recruitment processes, and assisting with onboarding and orientation tasks.<br>• Assist with Development team operations by processing donations, maintaining donor databases, and generating gift acknowledgments.<br>• Record meeting minutes, action items, and outcomes, ensuring follow-ups are well-documented and communicated.<br>• Operate technology for virtual meetings, including platforms like Zoom, and troubleshoot any issues that arise.<br>• Collaborate on multiple projects simultaneously, ensuring deadlines are met and priorities are managed effectively.
• Proficiency in tools such as Concur, Google Suite, and Google Sheets to perform administrative tasks efficiently.<br>• Strong organizational skills with experience in calendar management and scheduling.<br>• Excellent communication abilities, both written and verbal, to interact with diverse stakeholders.<br>• Familiarity with conference call platforms like Zoom and the ability to set up and manage virtual meetings.<br>• Demonstrated ability to manage office supplies and maintain inventory systems.<br>• Attention to detail and reliability in handling sensitive documentation and multitasking across various projects.<br>• Experience in supporting HR functions, including recruitment, onboarding, and employee inquiries.<br>• Capability to work in a fast-paced environment while maintaining accuracy and professionalism.
