Receptionist
We are looking for a detail-oriented and personable Receptionist to join our team on a contract basis in Herndon, Virginia. In this role, you will serve as the first point of contact for visitors and employees, ensuring a welcoming and organized front desk environment. This position involves a combination of administrative, facilities management, and customer service responsibilities that support the smooth operation of our office.<br><br>Responsibilities:<br>• Greet visitors warmly, announce their arrival to appropriate personnel, and maintain accurate visitor logs using systems like iOFFICE.<br>• Open and close the front desk area daily, ensuring the workspace is clean and presentable.<br>• Manage mail and parcel handling, including sorting, distributing, and creating shipping labels for outgoing packages.<br>• Oversee facilities processes for onboarding and offboarding employees, such as badge assignments, desk setups, and key management.<br>• Monitor and address internal and external maintenance ticket systems in collaboration with facilities staff to resolve issues.<br>• Assist with maintaining office supplies, including ordering, restocking, and organizing kitchen, beverage, and supply areas.<br>• Serve as a backup for the Facilities Coordinator in tasks such as restocking supplies and managing copy rooms.<br>• Resolve scheduling conflicts for conference rooms and provide administrative support to various departments as needed.<br>• Maintain and update desk procedures manuals and perform special projects as assigned.<br>• Act as the Fire Warden to assist with building emergency protocols.
• At least 1 year of experience in a receptionist, administrative, or facilities support role.<br>• Strong verbal and written communication skills with excellent organizational capabilities.<br>• Ability to manage multiple tasks simultaneously while maintaining attention to detail.<br>• Proficient in handling phone calls, email correspondence, and scheduling systems.<br>• Experience with mail distribution, ordering office supplies, and other administrative tasks.<br>• A detail-oriented approach with outstanding interpersonal skills and a positive attitude.<br>• Punctual, proactive, and able to work independently as well as collaboratively.<br>• Familiarity with tools such as iOFFICE and postage or shipping systems is a plus.
