Executive Assistant
<p><strong>Position Summary</strong></p><p>The Executive Assistant provides high-level administrative and customer service support to the [Executive Director/Leadership Team] and serves as a key representative of the organization. This role requires exceptional communication, organization, and technical skills, as well as discretion and professionalism. The Executive Assistant ensures the smooth operation of daily office activities, coordinates meetings and events, and serves as a welcoming and knowledgeable resource for staff, guests, and community members.</p><p><br></p><p><strong>Key Responsibilities</strong></p><p><strong>Administrative Support</strong></p><ul><li>Answer the office phone and respond to general inquiries about the organization, programs, and events.</li><li>Manage and coordinate calendars across multiple Google calendars with accuracy and attention to detail.</li><li>Schedule and coordinate internal and external meetings, including room setup and hospitality arrangements.</li><li>Take detailed and accurate meeting notes, distribute follow-ups, and track action items.</li><li>Prepare, edit, and format documents, reports, and presentations using Microsoft Word, Excel, and PowerPoint at an advanced level.</li><li>Receive and process forms from staff, review for accuracy, and submit for executive signature through electronic systems.</li><li>Conduct basic research and compile information as needed for projects and reports.</li></ul><p><strong>Customer & Guest Relations</strong></p><ul><li>Greet and assist visitors and guests, ensuring a professional and welcoming experience.</li><li>Communicate effectively and courteously via phone, text, email, and in-person.</li><li>Answer common inquiries about the organization (e.g., year built, renovations, size of collection, key programs, etc.).</li><li>De-escalate concerns or upset customers/staff calmly and professionally, maintaining a positive organizational image.</li></ul><p><strong>Event & Meeting Coordination</strong></p><ul><li>Support logistics for conferences, programs, and special events, including setup, teardown, and catering coordination.</li><li>Obtain quotes and manage communication with vendors and caterers.</li><li>Occasionally adjust work hours to support early morning or evening events.</li></ul><p><strong>Confidentiality & Professionalism</strong></p><ul><li>Maintain strict confidentiality regarding sensitive organizational and personnel information.</li><li>Demonstrate sound judgment, accuracy, and discretion in all communications and recordkeeping.</li><li>Ask clarifying questions to ensure understanding and accuracy rather than making assumptions.</li></ul><p><strong>General Office Support</strong></p><ul><li>Perform general administrative and office support duties as assigned to ensure efficient daily operations.</li></ul><p><br></p>
<p>MS Office, Operations management, Maintain Vendor Files, Manage Vendor Relationships, Order Office Supplies</p><p><br></p><p><strong>Qualifications</strong></p><ul><li>3+ years of administrative or executive assistant experience, preferably in a nonprofit or customer-facing environment.</li><li>Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Calendar, Drive, Docs).</li><li>Excellent written and verbal communication skills.</li><li>Proven ability to manage multiple priorities with accuracy and attention to detail.</li><li>Strong customer service orientation and problem-solving skills.</li><li>Ability to maintain composure and professionalism in a fast-paced, dynamic environment.</li><li>Demonstrated discretion and trustworthiness in handling confidential matters.</li></ul><p><br></p><p><strong>Preferred Attributes</strong></p><ul><li>Knowledge of nonprofit operations or public service organizations.</li><li>Experience coordinating meetings, events, or community programs.</li><li>A proactive, curious mindset with a willingness to learn and ask questions.</li></ul><p><br></p><p><br></p>
