Office Administrator
We are looking for a detail-oriented Office Administrator to manage front desk operations and provide administrative support. In this long-term contract position, you will play a key role in creating a welcoming environment for visitors and ensuring the smooth handling of daily office tasks. This role is based in Toronto, Ontario.<br><br>Responsibilities:<br>• Maintain the reception area and meeting rooms to ensure they are clean and welcoming.<br>• Greet visitors warmly, assist with their needs, and offer refreshments as appropriate.<br>• Answer and direct incoming calls to the correct staff members or external providers.<br>• Manage incoming mail by sorting, stamping, copying cheques, and distributing to the relevant team members.<br>• Handle outgoing mail, including applying postage and coordinating courier pickups and deliveries.<br>• Distribute faxes efficiently and ensure proper documentation procedures are followed.<br>• Maintain office security by locking filing cabinets and file rooms containing sensitive member and employer data.<br>• Scan, organize, and file member and employer documents while managing access to related keys.<br>• Perform general clerical duties, including data entry, photocopying, and faxing.<br>• Update address changes and enter monthly employer remittance data into the appropriate systems.
• Proven experience managing a multi-line phone system in a detail-oriented environment.<br>• Strong customer service skills with the ability to interact effectively with visitors and staff.<br>• Proficiency in data entry and handling email correspondence.<br>• Excellent organizational skills for managing files and maintaining office records.<br>• Proficiency in Microsoft Excel, Outlook, and Word.<br>• Ability to schedule appointments and prioritize tasks efficiently.<br>• Strong interpersonal skills to foster positive interactions across teams.<br>• Attention to detail and the ability to ensure accuracy in administrative tasks.
