Executive Assistant
<p>We are seeking a detail-oriented and proactive <strong>Executive Assistant</strong> to join a commercial real estate firm. This role is critical to ensuring seamless operations by providing high-level administrative support to the executive team. The ideal candidate brings prior experience in the commercial real estate and property management industry, thrives in a fast-paced and professional environment, and is committed to working on-site full-time.</p><p><br></p><p><strong>Key Responsibilities:</strong></p><ul><li>Deliver high-level administrative support by managing critical tasks and priorities.</li><li>Coordinate and screen incoming calls, emails, and other communications to ensure efficient processing and prioritization.</li><li>Act as a central liaison, facilitating effective communication between executives and internal/external stakeholders.</li><li>Organize and manage executive calendars, ensuring alignment with overarching priorities.</li><li>Plan and facilitate executive-level meetings, including creating agendas, taking detailed notes, and preparing comprehensive minutes.</li><li>Draft, revise, and finalize various documents, such as reports, presentations, correspondence, invoices, contracts, and spreadsheets.</li><li>Conduct thorough research on assigned projects, business initiatives, and new opportunities as needed.</li><li>Gain familiarity with the company’s portfolio and stakeholder network to provide comprehensive and informed administrative support.</li><li>Assist with business and real estate operations, ensuring shared electronic files are accurate and well-organized.</li><li>Coordinate travel arrangements, including booking transportation and lodging, to meet business needs.</li><li>Provide support for company events, deadlines, and ad-hoc project requirements, as assigned.</li></ul>
<ul><li>Proven experience as an Executive Assistant or similar role, ideally within the commercial real estate industry.</li><li>Minimum of 4-5 years of administrative support experience, with direct experience in commercial real estate strongly preferred.</li><li>Proficiency with office software tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).</li><li>Strong organizational and multitasking abilities, complemented by a proactive approach to problem-solving.</li><li>Ability to work 100% on-site in a corporate office setting.</li></ul>
