Office Admin
We are looking for an experienced Office Admin to join our team in Seal Beach, California. This is a contract position within the non-profit sector, requiring attention to detail and strong organizational skills. The role involves handling administrative tasks, supporting membership processes, and maintaining accurate records.<br><br>Responsibilities:<br>• Process stock transfers and related documentation while maintaining the resident database.<br>• Handle membership transfers, including responding to inquiries from residents, escrow personnel, and staff.<br>• Greet visitors, address their questions, and assist with stock transfer procedures.<br>• Coordinate inspection requests between the sales office, escrow company, and physical property department.<br>• Prepare financial demands, transmit payments, and ensure accurate documentation.<br>• Distribute new stockholder items such as keys, welcome packets, identification cards, and carport assignments.<br>• Issue replacement identification cards and verify eligibility for service passes.<br>• Prepare and maintain membership and stock certificates, ensuring all records are accurate.<br>• Assist with annual meetings, year-end mailings, and special programs such as pet registration.<br>• Support general office tasks, including supply inventory and clerical duties as needed.
• Proficiency in computer usage and business software applications.<br>• Ability to type at least 45 words per minute.<br>• Strong attention to detail and excellent communication skills.<br>• Physical ability to lift up to 20 pounds and perform tasks requiring standing, walking, and handling.<br>• Capability to sit for extended periods and complete repetitive motions using a keyboard.<br>• Effective collaboration skills for working with staff, board members, and external partners.<br>• Competence in maintaining confidentiality and demonstrating professionalism.<br>• Familiarity with inventory reporting and supply management processes.
