Executive Assistant/Admin
We are looking for a dedicated Executive Assistant to join our team in San Pedro, California. In this role, you will provide comprehensive support to the Executive Director, ensuring seamless operations and effective communication. This is a contract position with the potential for permanent employment, offering an opportunity to contribute to a non-profit organization focused on the housing sector.<br><br>Responsibilities:<br>• Prepare detailed meeting minutes and ensure timely distribution to relevant parties.<br>• Coordinate and schedule executive meetings, including managing agendas and arrangements.<br>• Organize meeting logistics, such as venue setup and necessary materials.<br>• Maintain the Executive Director's calendar, scheduling appointments and prioritizing commitments.<br>• Facilitate team scheduling to optimize productivity and collaboration.<br>• Manage work schedules to ensure deadlines and objectives are met.<br>• Oversee the planning and execution of events and meetings.<br>• Ensure efficient communication between the Executive Director and internal or external stakeholders.<br>• Monitor and adjust schedules to accommodate unforeseen changes.<br>• Provide administrative support to the Executive Director, including document preparation and correspondence.
• Proven experience as an Executive Assistant or in a similar administrative role.<br>• Proficiency in managing meeting agendas, minutes, and logistics.<br>• Strong organizational skills and expertise in calendar management.<br>• Ability to handle scheduling for teams and individuals effectively.<br>• Excellent communication skills, both written and verbal.<br>• Familiarity with event planning and coordination.<br>• Detail-oriented with the ability to prioritize tasks in a fast-paced environment.<br>• Proficient in using office software and scheduling tools.
