Administrative Assistant
We are looking for a dedicated and resourceful Administrative Assistant to join our team in Saint Paul, Minnesota. This long-term contract position requires an individual who can efficiently oversee office operations, manage administrative tasks, and ensure a welcoming environment for staff and visitors. The ideal candidate will have strong organizational skills, problem-solving abilities, and the capacity to work independently while supporting leadership and daily office functions.<br><br>Responsibilities:<br>• Manage daily office operations, ensuring all areas are organized and functioning effectively.<br>• Welcome visitors and staff, maintaining a positive and inviting atmosphere.<br>• Handle inbound calls with care and route them appropriately.<br>• Monitor office supplies and coordinate replenishments, including water and other essentials.<br>• Perform data entry tasks with accuracy and attention to detail.<br>• Conduct building inspections to ensure facilities are in proper working condition.<br>• Support leadership by scheduling appointments and managing calendars.<br>• Assist with minor tasks such as preparing coffee and maintaining plants to enhance the office environment.<br>• Troubleshoot issues and implement solutions to streamline processes.<br>• Coordinate with external vendors and service providers as required.
• Proven experience as an administrative assistant or in a similar role.<br>• Strong problem-solving skills and the ability to prioritize tasks effectively.<br>• Detail-oriented approach and excellent communication skills.<br>• Proficiency in Microsoft Teams, Outlook, and Google Drive.<br>• Ability to work independently and make resourceful decisions.<br>• Experience supporting executive-level staff or leadership teams.<br>• Familiarity with receptionist duties and managing inbound calls.<br>• Attention to detail and capability to multitask in a fast-paced environment.
