Sr. Administrative Assistant
<p>We are looking for a highly organized and detail-oriented Sr. Administrative Assistant to join our client in the south metro, Minnesota area. In this contract role, you will provide critical support to senior leadership and their teams, ensuring seamless coordination of meetings, communications, and travel arrangements. This is an excellent opportunity to contribute to a dynamic manufacturing environment while showcasing your administrative expertise. Responsibilities:</p><ul><li>Organize and manage on-site and off-site meetings for key stakeholders, including customer visits, trade shows, and executive council meetings.</li><li>Provide administrative support to senior executives by drafting correspondence, preparing reports, and maintaining departmental documentation.</li><li>Oversee calendar management, scheduling appointments, and preparing materials for meetings, ensuring all logistical needs are addressed.</li><li>Coordinate travel arrangements for executives, including booking flights, hotels, and transportation, while serving as a communication liaison during their trips.</li><li>Develop and refine PowerPoint presentations by gathering accurate information from various departments and ensuring high-quality output.</li><li>Facilitate the planning and execution of events, from venue selection and contract negotiations to ordering catering and setting up media equipment.</li><li>Attend staff meetings to create agendas, take detailed notes, and distribute meeting minutes.</li><li>Manage expense reporting and approval processes using systems like Concur, ensuring compliance and accuracy.</li><li>Maintain department organizational charts and track key submissions to support team operations.</li><li>Actively participate in team initiatives to identify and implement improvements that drive business success.</li></ul>
<ul><li>Proven experience in administrative roles, preferably supporting senior executives.</li><li>Proficiency in calendar management, scheduling, and coordination of complex meetings.</li><li>Strong skills in travel planning and expense report management using tools like Concur.</li><li>Expertise in creating well-crafted PowerPoint presentations and managing business communications.</li><li>Familiarity with Salesforce and other business platforms.</li><li>Advanced knowledge of Microsoft Outlook and PowerPoint.</li><li>Exceptional organizational skills and attention to detail.</li><li>Ability to work independently and proactively in a fast-paced environment.</li></ul><p>If you are interested please apply with your updated resume and call 952-831-6020 for additional details. </p>
