Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in Saint Paul, Minnesota. This is a long-term contract position with part-time hours, offering a hybrid work arrangement that includes on-site collaboration on Tuesdays and Wednesdays. In this role, you will play a key part in managing financial documentation and providing administrative support within the real estate industry.<br><br>Responsibilities:<br>• Organize and review invoices and reports using Yardi and Power BI to identify expenses eligible for reserve reimbursement.<br>• Prepare comprehensive documentation packages, including invoices and summary sheets, for submission to asset managers.<br>• Track the status of reimbursement requests and maintain accurate records throughout the process.<br>• Collaborate with team members during on-site meetings to ensure seamless coordination.<br>• Assist in compiling replacement reserve account documentation for physical property improvements, such as flooring or roofing.<br>• Provide administrative support by maintaining organized files and ensuring attention to detail in all tasks.<br>• Contribute to the preparation of expense-related summaries and reports.<br>• Learn and adapt to new systems with training provided by the team.<br>• Communicate effectively with internal stakeholders to streamline administrative processes.<br>• Support tracking and documentation efforts related to reimbursement workflows.
• Proven experience in administrative roles, preferably within the real estate or property management industry.<br>• Proficiency in Yardi and Microsoft Power BI for financial and data analysis tasks.<br>• Strong organizational skills and attention to detail.<br>• Ability to review and compile financial documentation accurately.<br>• Familiarity with expense reimbursement processes and tracking.<br>• Effective communication skills for collaboration with team members and asset managers.<br>• Capacity to learn new systems and adapt to evolving workflows.<br>• Availability to work on-site two days per week and manage part-time hours efficiently.
