Executive Assistant
We are looking for a dedicated and detail-oriented Executive Assistant to provide high-level support to our Executive Team in Plano, Texas. This Contract-to-permanent position offers an excellent opportunity for a motivated individual to manage executive schedules, coordinate meetings, and oversee various administrative functions with efficiency and precision. The role involves working collaboratively with multiple departments and handling complex tasks in a fast-paced environment.<br><br>Responsibilities:<br>• Provide comprehensive administrative support to the Executive Team, ensuring tasks are prioritized and completed in a timely manner.<br>• Schedule and coordinate meetings across multiple time zones, managing tight schedules to maximize participation.<br>• Prepare, review, and reconcile expense reports for the Executive Team, ensuring accuracy and adherence to company policies.<br>• Develop and analyze reports, spreadsheets, and presentations while conducting research to support ongoing projects.<br>• Organize travel arrangements, including accommodations and reservations, while maintaining executive schedules for optimal time management.<br>• Collaborate with IT, property management, and other departments to ensure smooth daily operations.<br>• Plan and coordinate company events, meetings, and special requests to support organizational goals.<br>• Manage office supplies and equipment procurement while maintaining a well-organized workspace.<br>• Support training and onboarding processes for new executive team members, assisting with related administrative duties.<br>• Perform additional tasks as needed to enhance team productivity and office operations.
• Proficiency in Concur or similar expense management systems.<br>• Strong organizational skills, including calendar management and scheduling.<br>• Excellent communication skills, both written and verbal, to handle correspondence and interactions effectively.<br>• Demonstrated ability to coordinate meetings and events with precision and professionalism.<br>• Experience managing travel arrangements and executive schedules.<br>• Advanced knowledge of reporting tools and spreadsheet software for data analysis.<br>• Ability to collaborate with cross-functional teams and departments.<br>• Proven track record of handling sensitive information with discretion and confidentiality.
