Facilities Coordinator 4
We are looking for a Facilities Coordinator to join our team on a contract basis in Irvine, California. In this role, you will provide critical administrative and operational support to ensure the seamless functioning of site operations. This position requires strong organizational skills, effective communication, and the ability to coordinate with vendors and stakeholders to maintain a well-run facility.<br><br>Responsibilities:<br>• Schedule and coordinate vendor activities, site inspections, and service appointments.<br>• Maintain accurate records of vendor interactions, service requests, and site operations.<br>• Assist in preparing reports on site performance, vendor activities, and operational metrics.<br>• Respond to routine inquiries from staff, vendors, and clients in a thorough and timely manner.<br>• Support the implementation of site procedures, protocols, and compliance initiatives.<br>• Organize and maintain documentation, including operational manuals and site records.<br>• Track and report on key performance indicators (KPIs) to monitor operational efficiency.<br>• Coordinate site meetings and prepare materials to support effective communication.<br>• Provide support for front desk operations, including greeting visitors and managing inquiries.<br>• Collaborate with the mailroom lead to ensure smooth day-to-day site operations.
• 0-2 years of experience in an administrative or operational support role.<br>• Strong organizational abilities and keen attention to detail.<br>• Proficiency in Microsoft Office Suite, particularly Excel and Outlook.<br>• Excellent written and verbal communication skills.<br>• Ability to manage multiple tasks and prioritize effectively in a dynamic environment.<br>• Basic understanding of customer service principles and practices.<br>• Willingness to work onsite and travel to client locations as needed.<br>• Flexibility to adapt to occasional overtime requirements.
