Administrative Assistant
<p>We are looking for a part-time Administrative Assistant to join our team on a contract basis in Fort Lauderdale, Florida. This role requires someone who excels in organization, thrives in a fast-paced environment, and is dedicated to creating a welcoming atmosphere for employees and visitors alike. The ideal candidate will bring exceptional communication skills, a proactive approach to problem-solving, and a commitment to maintaining professionalism and confidentiality. Tuesday–Thursday, 8:00–4:00 or 9:00–5:00 (24 hours per week)</p><p><br></p><p>Responsibilities:</p><p>• Welcome visitors and vendors upon arrival, ensuring they have a positive experience and receive necessary assistance during their visit.</p><p>• Manage the sorting and distribution of incoming mail and deliveries, as well as preparing outgoing mail and packages.</p><p>• Maintain cleanliness and organization in office spaces, including conference rooms, to create a well-organized environment.</p><p>• Monitor inventory levels and coordinate regular ordering of office supplies, responding promptly to one-off supply requests.</p><p>• Arrange travel accommodations for employees, balancing individual needs with cost-effective solutions.</p><p>• Provide support for leadership team projects as they arise, ensuring timely and accurate completion.</p><p>• Organize food and beverage services for in-office meetings and events.</p><p>• Respond promptly to inbound calls and emails, handling correspondence with professionalism and accuracy.</p><p>• Schedule appointments and coordinate calendars using Microsoft Office tools.</p>
• Minimum of 2 years of experience in a similar administrative role.<br>• Strong organizational skills with the ability to manage multiple tasks efficiently.<br>• Exceptional customer service skills and a proactive attitude toward addressing employee and visitor needs.<br>• Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.<br>• Experience with corporate-level travel booking and coordination.<br>• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.<br>• Reliable and resourceful, with the ability to identify areas for improvement and suggest solutions.<br>• Comfortable managing inbound and outbound calls, email correspondence, and data entry.
