Sr. Administrative Assistant
<p>We are looking for a dedicated and detail-oriented Administrative Assistant to join a mission-driven non-profit organization in Minneapolis, Minnesota. This long-term contract position requires someone who is reliable, organized, and adaptable to support a dynamic team. If you excel at multitasking, coordinating logistics, and fostering positive relationships, this is an excellent opportunity for you.</p><p><br></p><p><strong>Responsibilities:</strong></p><p>● Front Desk Operations</p><ul><li>Greet and welcome guests as soon as they arrive at the office</li><li>Direct visitors to the appropriate person and/or office</li><li>Answer, screen, and forward incoming phone calls</li><li>Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)</li><li>Assist with building security by accessing the alarm system and reviewing camera footage as needed to support safety procedures and incident resolution</li></ul><p>● Administrative Duties</p><ul><li>Receive, sort, and distribute packages and mail for both incoming and outgoing shipments </li><li>Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, etc.)</li><li>Support ordering of office supplies and keep inventory of stock</li><li>Update calendars and schedule meetings</li><li>Provide basic and accurate information in-person and via phone/email</li><li>Direct general inquiries via email or phone</li><li>Maintain awareness of the daily schedule of meetings in the building to provide accurate information to visitors and staff</li></ul><p>● HR Support: Under the direction of the Human Resources Department, support the processing of HR related tasks:</p><ul><li>Handling HR documentation and employee records with sensitivity</li><li>Updating employee information in the HRIS</li><li>Assisting with the recruiting process, including posting job ads on job boards, coordinating candidate communications, and organizing interview schedules</li><li>Assisting with onboarding and orientation materials</li><li>Handle general employee inquires</li><li>Supporting other HR projects and initiatives as needed</li></ul><p>● Development Support: Under the direction of the Senior Manager, Development Operations, support the processing of financial and in-kind donations, including:</p><ul><li>Support updates in the development database (in Salesforce) to ensure contacts are properly moved through development process and gifts are recorded appropriately;</li><li>Support gift acknowledgement process, producing donor</li><li>Running technology for meetings - Zoom, etc.</li><li>Taking meeting minutes, record meeting results, action items, etc.</li><li>Looking for someone that has great attention to detail, reliable</li><li>Good at navigating several projects at once.</li></ul>
• Proven reliability and ability to work independently while managing multiple tasks.<br>• Exceptional attention to detail and organizational skills.<br>• Strong professionalism and ability to communicate effectively with diverse teams.<br>• Comfort with leading technology aspects of meetings, including virtual platforms like Zoom.<br>• Adept at managing calendars and coordinating schedules efficiently.<br>• Experience with tools such as Concur, Google Suite, and Google Sheets.<br>• Flexibility to adapt to shifting priorities and deadlines.<br>• A mission-driven mindset with the ability to empathize and connect with team members.
