Office Assistant
We are looking for an organized and proactive Office Assistant to join our team in Fredericksburg, Virginia. This is a contract position offering coverage for approximately 30 hours per week across four days. The role involves working between two office locations, with one day per week varying based on local needs. If you excel in customer service, have strong communication skills, and enjoy solving problems, we encourage you to apply.<br><br>Responsibilities:<br>• Provide administrative support by managing schedules, organizing files, and maintaining office records.<br>• Handle multi-line phone systems and ensure prompt, detail-oriented communication with clients and team members.<br>• Perform accurate data entry and maintain up-to-date records in Microsoft Excel and Word.<br>• Manage email correspondence, ensuring timely responses and effective communication.<br>• Schedule appointments and coordinate meetings, adapting to changing priorities as needed.<br>• Build and maintain positive relationships with clients and colleagues, demonstrating empathy and a detail-oriented approach.<br>• Assist with office tasks such as filing, organizing supplies, and maintaining a clean workspace.<br>• Adapt to varying office needs by working seamlessly between two different locations.<br>• Utilize Microsoft Outlook to manage calendars and communicate effectively with team members.
• Minimum of 1 year of experience in customer service or a related field.<br>• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.<br>• Strong organizational skills with the ability to manage multiple tasks and priorities.<br>• Excellent verbal and written communication skills.<br>• Ability to work independently and take ownership of responsibilities.<br>• Positive attitude and flexibility in adapting to changing circumstances.<br>• Experience with scheduling and using multi-line phone systems.<br>• Strong interpersonal skills and a customer-focused approach.
