Document Specialist
We are looking for a meticulous Document Specialist to join our team on a long-term contract basis in Encino, California. In this role, you will provide essential administrative support to the operations department, ensuring all documentation processes are managed efficiently and accurately. This position offers an excellent opportunity for individuals with a strong background in document control and related accounting functions.<br><br>Responsibilities:<br>• Organize, manage, and maintain accurate records of all operational documents.<br>• Support the operations team by preparing, reviewing, and updating documentation in compliance with company standards.<br>• Utilize accounting software systems to ensure seamless integration with document control processes.<br>• Collaborate with internal teams to process accounts payable and support auditing activities.<br>• Assist in budget preparation by maintaining accurate financial documentation.<br>• Implement and optimize document management tools, such as Bluebeam Revu and Adobe Acrobat.<br>• Ensure timely and efficient handling of administrative tasks related to document processing.<br>• Conduct regular reviews to ensure all documentation is complete and meets regulatory requirements.<br>• Provide training and guidance to staff on document control procedures, as needed.<br>• Address discrepancies or issues in documentation to maintain operational integrity.
• Minimum of 3 years’ experience in document control or related administrative roles.<br>• Proficiency in accounting software systems and tools, such as ADP Financial Services and About Time.<br>• Strong skills in Adobe Acrobat and Bluebeam Revu for document creation and management.<br>• Solid understanding of accounting functions, including accounts payable and auditing processes.<br>• Familiarity with budget processes and financial documentation.<br>• Excellent organizational and time management skills to handle multiple tasks efficiently.<br>• Strong attention to detail and ability to ensure accuracy in all documentation.<br>• Effective communication skills to collaborate with cross-functional teams.
