HR Assistant
<p>We are seeking a detail-oriented and trustworthy HR Assistant to support our team in a temporary capacity, with the possibility of converting to a permanent position. This role is crucial in maintaining our HR processes, supporting business operations, and ensuring compliance with all credentialing and licensing requirements.</p><p><strong>Key Responsibilities:</strong></p><ul><li>Maintain strict confidentiality in handling sensitive personnel information and files</li><li>Track, audit, and monitor medical credentials, licenses, and training certifications for staff</li><li>Perform a variety of administrative tasks, including data entry, correspondence, filing, and ordering office supplies/snacks</li><li>Support new hire processes: track new hire paperwork, conduct orientation, distribute handbooks/documents, manage I-9 compliance, coordinate badges, equipment, and system access</li><li>Serve as a liaison between HR and clerical staff members </li><li>Clean and organize supervisor notes for personnel files</li><li>Coordinate and communicate within and between departments; answer phones and forward inquiries appropriately</li><li>Own safety-related tasks: coordinate safety meetings, maintain binders, lead trainings/drills, and communicate updates to staff</li><li>Prepare agendas, meeting minutes, and correspondence for program/department initiatives and projects</li><li>Assist in special projects as needed and act as a back-up receptionist or provide support to other administrative positions</li><li>Address and help coordinate maintenance requests around the office</li></ul><p><br></p>
<p><strong>Required Qualifications:</strong></p><ul><li>Prior experience in human resources, with basic HR knowledge</li><li>Proven ability to handle confidential material and information</li><li>Experience tracking credentials, licensing, or compliance documentation (medical focus preferred)</li><li>Strong organizational and communication skills</li><li>Proficiency with MS Office Suite; familiarity with UltiPro, Kronos, and MS Teams preferred</li></ul><p><br></p>
