Executive Assistant
We are looking for a highly organized and proactive Executive Assistant to provide direct support to the owner of a thriving company in Santa Clara, California. This long-term contract position offers an exciting opportunity to work closely with the leadership team, ensuring efficient operations and contributing to the company's success. The ideal candidate will excel in managing schedules, coordinating tasks, and maintaining confidentiality while playing a key role in supporting strategic initiatives.<br><br>Responsibilities:<br>• Oversee and manage the owner's daily schedule, including coordinating meetings, appointments, and events to ensure optimal time management.<br>• Arrange and coordinate domestic travel plans, including accommodations, itineraries, and transportation.<br>• Prepare detailed correspondence, reports, presentations, and meeting agendas as required.<br>• Attend meetings alongside or on behalf of the owner, taking detailed notes, summarizing discussions, and ensuring timely follow-ups.<br>• Monitor and track deadlines for contracts, agreements, and critical business initiatives.<br>• Collaborate with internal teams to support projects led by the owner and contribute to achieving company goals.<br>• Conduct in-depth research and compile data to assist in strategic decision-making and planning.<br>• Handle sensitive and confidential information with the utmost professionalism and discretion.
• Proven experience as an Executive Assistant or in a similar role supporting C-suite executives or business owners, preferably in industries such as construction, plumbing, or other trades.<br>• Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.<br>• Strong communication skills, both written and verbal, with an attentive and meticulous demeanor.<br>• Proficiency in using Microsoft Office Suite (Excel, Word, PowerPoint), virtual meeting platforms, and project management tools.<br>• Demonstrated ability to work independently, anticipate needs, and solve problems proactively.<br>• Capacity to build and maintain strong working relationships with internal teams and external partners.<br>• Flexibility to adapt quickly to shifting priorities in a fast-paced environment.<br>• High level of discretion and ability to manage confidential and sensitive information responsibly.
