Administrative Assistant
We are looking for an experienced Administrative Assistant to join our team in Houston, Texas, supporting the Grant Department in a dynamic environment. This long-term contract position requires someone who is highly organized, technologically skilled, and capable of managing multiple priorities with efficiency. The role involves assisting with Requests for Proposals (RFPs) and administrative tasks, with training provided for grant-related processes.<br><br>Responsibilities:<br>• Track and monitor submission deadlines, deliverable timelines, and other key milestones related to RFPs.<br>• Prepare and complete necessary documentation for grant submissions and RFP forms.<br>• Ensure compliance with organizational guidelines by verifying the timely and accurate submission of required documents.<br>• Provide general administrative support to the grant team, ensuring smooth operation of processes.<br>• Utilize tools such as Adobe, Microsoft Outlook, and Teams to effectively manage tasks and communication.<br>• Organize and maintain detailed records for grant and RFP-related activities.<br>• Coordinate and respond to inbound inquiries, ensuring prompt and precise communication.<br>• Support data entry tasks and maintain the integrity of information within relevant systems.<br>• Assist with receptionist duties, including managing calls and greeting visitors.
• Minimum of 3 years of experience in administrative roles, preferably supporting teams or departments.<br>• Proficiency in using Microsoft Office Suite, including Outlook, Teams, and Excel.<br>• Strong organizational skills with the ability to manage multiple deadlines and priorities.<br>• Familiarity with Adobe tools for document preparation and editing.<br>• Excellent attention to detail and ability to ensure accuracy in documentation and submissions.<br>• Effective communication skills, both written and verbal, to interact professionally with team members and external stakeholders.<br>• Ability to work independently and demonstrate problem-solving skills in a fast-paced environment.<br>• Previous experience with grant administration or RFP processes is a plus but not required; training will be provided.
