Executive Assistant
We are looking for a skilled and proactive Executive Assistant to support the Vice President of Investor Relations in Houston, Texas. This Contract-to-Permanent position offers an opportunity to contribute to high-level administrative functions, ensuring seamless operations and effective communication. The ideal candidate will excel in organizational tasks, handle travel logistics, and assist with presentations while maintaining a detail-oriented approach.<br><br>Responsibilities:<br>• Manage the executive’s calendar, including scheduling meetings and coordinating appointments.<br>• Arrange and oversee complex travel plans, including booking flights, accommodations, and creating detailed itineraries.<br>• Prepare and submit expense reports with accuracy and timeliness.<br>• Assist in setting up meetings with investors, ensuring all logistics are handled efficiently.<br>• Support the creation and refinement of presentations for internal and external stakeholders.<br>• Act as a liaison between the executive and other departments, ensuring smooth communication.<br>• Provide administrative support in organizing executive-level meetings and events.<br>• Maintain a high level of confidentiality while handling sensitive information.<br>• Collaborate with other team members to ensure all administrative needs are met.
• Minimum of 3 years of experience as an Executive Assistant or in a similar role.<br>• Exceptional organizational and time-management skills.<br>• Proficiency in managing calendars and coordinating travel arrangements.<br>• Strong ability to create and edit presentations using software tools.<br>• Excellent written and verbal communication skills.<br>• High level of attention to detail and accuracy in handling tasks.<br>• Ability to multitask and prioritize effectively in a fast-paced environment.<br>• Experience with expense reporting and managing confidential information.
