Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in Denver, Colorado. In this long-term contract position, you will play a vital role in supporting our non-profit organization by managing administrative tasks and ensuring smooth operations. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to providing exceptional service.<br><br>Responsibilities:<br>• Respond to inquiries from potential residents, provide property tours, and follow up with interested individuals.<br>• Assist applicants with completing required forms, processing applications, and conducting background and reference checks.<br>• Maintain and update the waitlist and vacancy list in compliance with organizational guidelines.<br>• Coordinate leasing activities, including preparing applicant files, conducting move-in orientations, and facilitating unit walkthroughs.<br>• Collaborate with Resident Care Coordinators and the Leasing Assistant to ensure accuracy and completeness of leasing documentation.<br>• Organize unit transfers by managing lease signings, orientations, walkthroughs, and rent certifications while adhering to established policies.<br>• Support marketing initiatives by participating in outreach events such as community fairs, open houses, and conferences.<br>• Conduct annual and interim certifications, ensuring compliance with regulatory requirements and organizational policies.<br>• Schedule and distribute certification notices, meet with residents to collect documentation, and perform apartment inspections.<br>• Maintain accurate records and ensure timely submission of reports and verification documents for audit and review purposes.
• Proven experience in administrative support or office management roles.<br>• Proficiency in data entry and maintaining accurate records.<br>• Familiarity with HUD regulations and senior housing processes.<br>• Strong communication and interpersonal skills for interacting with residents and team members.<br>• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.<br>• Knowledge of fair housing programs and compliance requirements.<br>• Attention to detail and a proactive approach to problem-solving.<br>• Proficiency in using leasing software and related administrative tools.
