Office Manager
<p>We are seeking an <strong>Office Administrator</strong> to join our small, flexible team. The ideal candidate will thrive in a dynamic environment, wearing multiple hats and supporting various administrative functions. This role offers an opportunity to learn and grow with ongoing training and professional development.</p><p><br></p><p><strong>Key Responsibilities</strong></p><ul><li>Act as the first point of contact for customers and clients visiting the office, providing a friendly and professional representation.</li><li>Answer and route phone calls to the appropriate team members.</li><li>Support inventory management, including reviewing and logging purchase orders, assisting with inventory updates, and coordinating material procurement.</li><li>Assist with office supply orders and overall office management.</li><li>Collaborate with estimators and architects on small estimation tasks (training provided).</li><li>Process credit card and cash transactions, and coordinate payment receipts with the accounting team.</li><li>Help track, file, and maintain vendor and supplier documentation.</li><li>Interface with shop personnel and project managers to schedule production and manage material needs.</li><li>Use Microsoft Office and accounting tools to track and update company data.</li><li>Assist with general accounting duties, such as filing and basic bookkeeping.</li><li>Foster effective relationships with both office and shop personnel, ensuring smooth communication and workflow.</li><li><strong>Requirements</strong>Proficiency in Microsoft Office applications and general computer systems.</li><li>Excellent written and verbal communication skills.</li><li>Attention to detail and the ability to multitask effectively in a fast-paced environment.</li><li>A positive, patient, and tolerant attitude toward working with diverse teams, including office staff and construction or shop personnel.</li><li>High school diploma or equivalent required; additional office experience (3+ years preferred) is a plus.</li><li>Ability to lift and move boxes or office equipment occasionally (up to 20 lbs).</li><li>Open to candidates with varying levels of experience; training is provided for the right candidate.</li></ul><p><strong>Work Environment & Culture</strong></p><ul><li>Business casual attire: jeans and a nice shirt are acceptable, but long sleeves and closed-toe shoes are required per OSHA guidelines.
