Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in Santa Clara, California. In this long-term contract position, you will provide essential administrative support to the Human Resources Department within an educational environment. This role requires a high level of professionalism, confidentiality, and organizational skills to ensure smooth office operations.<br><br>Responsibilities:<br>• Serve as the primary point of contact for relaying messages, directives, and information from supervisors to staff, ensuring clear and accurate communication.<br>• Provide comprehensive administrative support to the Human Resources Department, including managing personnel records and assisting with employee relations.<br>• Organize and maintain filing systems, correspondence, and documents while ensuring confidentiality and compliance with policies.<br>• Coordinate office workflows and prioritize tasks to meet deadlines effectively.<br>• Prepare and verify the accuracy of reports, presentations, and official correspondence.<br>• Arrange meetings by scheduling, preparing agendas, and distributing minutes to key personnel.<br>• Monitor the department budget, track expenses, and manage requisitions for office supplies.<br>• Compile data for statistical reports and assist with updates to policies and regulations.<br>• Operate office equipment and utilize software tools such as word processing, spreadsheets, and databases.<br>• Support the office by answering inbound calls and managing receptionist duties as needed.
• Minimum of 2–3 years of administrative experience, preferably within an educational or detail-oriented environment.<br>• Proficiency in standard office applications, including Microsoft Office and Google Workspace.<br>• Strong organizational skills with the ability to prioritize tasks and meet deadlines.<br>• Excellent communication skills, including grammar, punctuation, and composition.<br>• Familiarity with office practices, filing systems, and records management techniques.<br>• Ability to handle sensitive information with discretion and maintain strict confidentiality.<br>• Knowledge of budget preparation and tracking processes.<br>• Physical capability to sit, stand, and walk for extended periods, as well as lift up to 15 pounds occasionally.
