<ul><li>Greet and welcome visitors and clients in a professional and friendly manner, creating a positive first impression.</li><li>Answer, screen, and direct incoming phone calls using a multi-line phone system, taking detailed messages when necessary.</li><li>Maintain the reception area, ensuring it is clean, organized, and presentable for visitors and staff.</li><li>Manage the scheduling and coordination of appointments, meetings, and conference room reservations.</li><li>Assist with general administrative tasks such as data entry, filing, and handling correspondence.</li><li>Receive and sort incoming mail and deliveries and ensure outgoing mail is prepared for shipment.</li><li>Provide accurate information to visitors, clients, and employees about company services, events, or processes as needed.</li><li>Collaborate with team members to ensure seamless communication and efficient front desk operations.</li><li>Monitor and restock office supplies in the reception area or alert relevant departments about necessary orders.</li><li>Maintain confidentiality and adhere to company policies, particularly when handling sensitive or proprietary information.</li></ul><p><br></p>
<ul><li>High school diploma or equivalent required; additional certification in office administration or related field preferred.</li><li>Proven experience in a receptionist or front desk role, or other customer-facing administrative position.</li><li>Proficiency with office tools and technology, including multi-line phone systems, scheduling software, and programs like Microsoft Office and Google Workspace.</li><li>Strong verbal and written communication skills for interacting effectively with visitors, clients, and team members.</li><li>Excellent organizational and multitasking abilities to manage administrative duties in a fast-paced environment.</li><li>Friendly and professional demeanor with strong interpersonal skills to create a positive experience for guests and employees.</li><li>Ability to maintain confidentiality when handling sensitive information.</li><li>Attention to detail and accuracy in tasks such as scheduling, filing, and processing correspondence.</li><li>Problem-solving skills to address guest inquiries or unexpected situations promptly and effectively.</li><li>Flexibility to assist with various administrative tasks or adapt to new processes as business needs change.</li></ul><p><br></p>
