Senior Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to provide vital support to the Divisional Finance Director in Carson, California. This role involves managing a variety of administrative and financial responsibilities, ensuring smooth operations and organizational efficiency. As a Contract-to-permanent position, it offers an opportunity to showcase your skills while contributing to the success of the team.<br><br>Responsibilities:<br>• Organize and maintain comprehensive filing systems for audits, budgets, and financial documents to facilitate easy access and compliance.<br>• Prepare meeting agendas, schedule appointments, and record minutes for Finance Department meetings to ensure effective communication and documentation.<br>• Handle confidential HR-related paperwork, including performance reviews, onboarding processes, and timekeeping for Finance staff.<br>• Manage databases related to armored services and bank correspondence, ensuring accuracy and proper servicing of Corps/Units.<br>• Oversee the corporate card program by providing training, managing new card requests, tracking suspensions, and maintaining program compliance.<br>• Monitor office supply inventory, coordinate orders, and track department budgets to ensure operational efficiency.<br>• Support the administration of the Command Finance Council Board System by maintaining data integrity and coordinating agenda submissions.<br>• Identify discrepancies in agenda items and apply problem-solving strategies to ensure compliance and accuracy.<br>• Coordinate logistics for audits, including reserving spaces and arranging IT setup to meet audit requirements.<br>• Track and report officer and employee vehicle mileage while maintaining inventory databases for department equipment.
<p>• Proven experience in administrative assistance, with a focus on financial or business operations.</p><p>• Detail-oriented and reliable individual who can be trusted with highly confidential financial information. </p><p>• Demonstrates strong proficiency in Excel, possess a typing speed of at least 40 words per minute, and maintain a high level of professionalism in all interactions.</p><p>• Strong organizational skills to manage filing systems, databases, and office supplies effectively.</p><p>• Ability to handle confidential information with discretion and accuracy.</p><p>• Proficiency in scheduling meetings, preparing agendas, and recording minutes.</p><p>• Knowledge of corporate card program management and related processes.</p><p>• Familiarity with database management for armored services and financial correspondence.</p><p>• Excellent problem-solving skills to identify and resolve discrepancies in agenda items.</p><p>• Strong communication skills to coordinate logistics and maintain documentation.</p>
