Front Desk Assistant
We are looking for a Front Desk Assistant to join our team in Banning, California. This Contract-to-Permanent position requires a motivated individual with strong organizational and communication skills to support daily operations and provide exceptional service to residents and guests. The role involves a blend of administrative tasks and customer-facing responsibilities, offering an opportunity to contribute to the smooth functioning of the facility.<br><br>Responsibilities:<br>• Coordinate and manage the facility scheduling system, meeting with groups to determine setup needs and requirements.<br>• Support the planning and execution of diverse special events, including celebrations, concerts, dinner dances, and community activities.<br>• Prepare marketing materials and maintain the annual and monthly Community Master Calendar.<br>• Handle incoming calls on a multi-line phone system, directing inquiries and taking messages as needed.<br>• Welcome visitors, provide information and directions, and respond to resident and guest inquiries.<br>• Assist with administrative tasks such as research, preparing reports, and completing special projects.<br>• Collect fees for activities and programs, manage ticket sales for events, and oversee equipment checkout processes.<br>• Maintain and update informational racks and resident bulletin boards, ensuring all materials are current.<br>• Report facility issues or concerns to the appropriate personnel, including security, when required.<br>• Provide support to the Recreation Manager in developing goals, objectives, and policies for the department.
• Minimum of 2 years of experience in administrative or front desk roles.<br>• Proficiency in handling receptionist duties, including multi-line phone systems and inbound calls.<br>• Strong skills in data entry, report creation, and general administrative office tasks.<br>• Familiarity with Microsoft Word and Excel.<br>• Ability to communicate effectively in both verbal and written formats.<br>• Proven ability to manage high workloads while maintaining flexibility in challenging situations.<br>• Valid California driver’s license and proof of current automobile insurance.<br>• Willingness to work a flexible schedule, including evenings, weekends, and holidays.
