Executive Assistant
<p>We are looking for a highly organized and proactive Executive Assistant to join our team on a contract basis in Richmond, Virginia. In this role, you will provide comprehensive support to the C-suite executives, while also ensuring smooth day-to-day operations of the office. Your ability to manage multiple responsibilities efficiently and make independent decisions will be essential for success. This role has the potential to become a long term, permanent position.</p><p><br></p><p>Responsibilities:</p><p>• Provide administrative support to 4-5 C-suite executives, managing their calendars and scheduling meetings.</p><p>• Arrange and coordinate travel plans, including booking flights, accommodations, and transportation.</p><p>• Act as the keyholder for company assets, including security badges and vehicles.</p><p>• Assist with front desk duties, such as monitoring sign-in sheets and greeting visitors as needed.</p><p>• Set up and prepare conference rooms for in-person meetings.</p><p>• Take meeting minutes and ensure proper documentation of discussions and decisions.</p><p>• Address and resolve office-related issues, including tenant concerns, and coordinate with the landlord for solutions.</p><p>• Support special administrative projects and tasks as required.</p><p>• Make independent scheduling decisions to optimize executive calendars without prior consultation.</p><p>• Oversee daily office operations to maintain an attentive and efficient environment.</p>
<p>• Proven experience as an Executive Assistant or in a similar administrative role.</p><p>• Must have experience with MS Office, Salesforce experience is a plus.</p><p>• Strong proficiency in calendar management and scheduling.</p><p>• Expertise in arranging and coordinating travel plans.</p><p>• Excellent organizational and multitasking skills.</p><p>• Ability to handle confidential information with discretion.</p><p>• Effective communication skills, both written and verbal.</p><p>• Self-motivated and capable of making independent decisions.</p><p>• Proficiency in office software and tools for administrative tasks.</p>
