Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Palm Desert, California. This role involves providing essential support to departmental and program operations, ensuring efficient administrative processes, and delivering excellent customer service. If you excel at organizing information, maintaining records, and assisting with clerical tasks, this position is a great opportunity to contribute to a non-profit organization.<br><br>Responsibilities:<br>• Perform a variety of administrative and clerical tasks, including processing forms, applications, and confidential documents.<br>• Deliver exceptional customer service by providing information, clarifying policies, and assisting with inquiries related to eligibility and procedures.<br>• Review and verify forms and reports for accuracy and compliance with established regulations and procedures.<br>• Maintain detailed and organized databases, files, and records, ensuring accuracy and timely updates.<br>• Research discrepancies in documentation and resolve issues to maintain data integrity.<br>• Apply departmental policies and procedures to evaluate the completeness of applications and records.<br>• Ensure compliance with records retention schedules by organizing and storing documents appropriately.<br>• Answer incoming calls, addressing inquiries or directing them to appropriate departments.<br>• Assist with receptionist duties, including greeting visitors and managing front office operations.<br>• Support the team in day-to-day administrative tasks to enhance operational efficiency.
• Proven experience in administrative assistance or clerical roles.<br>• Strong customer service skills with the ability to communicate effectively and professionally.<br>• Proficiency in data entry and maintaining accurate records.<br>• Familiarity with office equipment and tools, including phone systems and databases.<br>• Excellent organizational skills and attention to detail.<br>• Ability to interpret and apply policies, procedures, and regulations.<br>• Strong problem-solving skills to identify and resolve discrepancies.<br>• Comfortable working in a fast-paced environment and managing multiple tasks simultaneously.
