Administrative Assistant
<p><strong>Position Summary</strong></p><p>The Administrative Assistant provides essential support to the Contracts and Compliance team, ensuring accurate documentation, timely processing, and adherence to regulatory requirements. This role involves managing subcontractor paperwork, tracking and reconciling invoices, and maintaining organized filing systems. The ideal candidate is detail-oriented, proactive, and able to handle multiple administrative tasks in a fast-paced environment.</p><p><br></p><p><strong>Key Responsibilities:</strong></p><ul><li>Assist with contract administration, including subcontractor documentation.</li><li>Track trucking tickets and hours; reconcile trucking invoices.</li><li>Monitor and reconcile force account records.</li><li>Verify compliance documentation and follow up as needed.</li><li>Maintain both physical and digital filing systems.</li><li>Confirm insurance coverage and prevailing wage compliance.</li><li>Scan, copy, and archive documents.</li><li>Provide general support to Contracts & Compliance team as required.</li></ul>
<p><strong>Job Requirements:</strong></p><ul><li><strong>Experience:</strong> Minimum 5 years of office experience in a similar administrative role.</li><li><strong>Industry Knowledge:</strong> Public works experience highly preferred.</li><li><strong>Technical Skills:</strong></li><li>Familiarity with certified payroll processes and public works reporting systems.</li><li>Proficient in Microsoft Office Suite, especially Excel and Word.</li><li>Ability to use a ten-key by touch.</li><li><strong>Performance:</strong> Demonstrated ability to complete tasks accurately and on time.</li><li><strong>Communication:</strong> Excellent written and verbal communication skills.</li><li><strong>Integrity:</strong> Trustworthy in handling confidential and sensitive information.</li><li><strong>Professionalism:</strong> Ability to manage challenging situations with tact and professionalism.</li><li><strong>Organizational Skills:</strong> Superior organizational abilities with strong attention to detail and follow-through.</li><li><strong>Teamwork:</strong> Must be a collaborative team player.</li><li><strong>Reliability:</strong> Dependable and consistent in attendance and performance.</li><li><strong>Adaptability:</strong> Skilled at multitasking and thriving in a fast-paced, ever-changing environment.</li><li><strong>Attitude:</strong> Positive, “can-do” mindset.</li></ul>
