Project Assistant
We are looking for a meticulous Project Assistant to join our team in Irvine, California. This is a long-term contract position, offering a chance to work onsite and support executives in a dynamic and collaborative environment. The ideal candidate will excel in administrative coordination, project management, and vendor relations while maintaining high levels of attention to detail.<br><br>Responsibilities:<br>• Provide administrative support to the Vice President and other executives, including scheduling meetings and managing calendars.<br>• Coordinate and oversee various projects, ensuring timelines and deliverables are met.<br>• Handle vendor relations by communicating effectively and managing contracts.<br>• Prepare and draft precise correspondence, reports, and presentations.<br>• Utilize advanced Excel functions, such as pivot tables and VLOOKUP, to analyze and organize data.<br>• Manage electronic document signing processes using DocuSign and Adobe Acrobat.<br>• Assist in the planning and execution of events and meetings held throughout the year.<br>• Maintain organized records and ensure all documentation is scanned and properly archived.<br>• Collaborate with team members to ensure seamless workflow and communication.<br>• Support construction-related projects by managing schedules and timelines.
• Advanced proficiency in Microsoft Excel, including the ability to create pivot tables and use VLOOKUP functions.<br>• Experience with Adobe Acrobat and DocuSign for document management.<br>• Demonstrated ability to manage multiple projects and meet deadlines effectively.<br>• Strong organizational and communication skills, both written and verbal.<br>• Previous experience in vendor relations and contract management.<br>• Familiarity with project coordination and scheduling tools.<br>• Ability to work onsite in Irvine, California on a permanent basis.<br>• Detail-oriented demeanor and ability to work in a family-oriented, business casual environment.
