Executive Assistant
<p>We are looking for an experienced and detail-oriented Executive Assistant to support our leadership team in Gainesville, Georgia. In this long-term contract role, you will play a vital part in ensuring day-to-day operations run smoothly and efficiently. The ideal candidate will excel in managing schedules, coordinating travel, and handling administrative tasks with precision and a focus on quality.</p><p><br></p><p>*This role will start out as part-time working 3 days a week in Gainesville with the possibility of becoming fulltime at which point will require 3 days in Gainesville and 2 days in Buckhead*</p><p><br></p><p>Responsibilities:</p><p>• Effectively manage executive calendars by scheduling meetings, appointments, and events while resolving any conflicts or overlaps.</p><p>• Organize comprehensive travel arrangements, including flights, accommodations, ground transportation, and itineraries.</p><p>• Collaborate with vendors and stakeholders to address logistical challenges and ensure seamless travel experiences.</p><p>• Utilize Concur or similar software to book travel and track expenses in a timely and accurate manner.</p><p>• Draft correspondence, manage communications, and provide administrative support to streamline executive workflows.</p><p>• Leverage advanced features of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, to create high-quality reports and presentations.</p><p>• Maintain accurate records, review documents for errors, and ensure all tasks are completed with exceptional attention to detail.</p><p>• Support cross-functional projects and contribute to process improvements that enhance operational efficiency.</p><p>• Assist with additional duties as needed to meet team objectives and organizational goals.</p>
• Proven track record as an Executive Assistant or in a comparable administrative role.<br>• Demonstrated ability to manage calendars and coordinate complex travel arrangements.<br>• Hands-on experience with Concur or similar travel and expense management software.<br>• Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.<br>• Strong organizational skills and a meticulous attention to detail.<br>• Excellent problem-solving abilities and adaptability in dynamic environments.<br>• Superior written and verbal communication skills.<br>• Capability to work independently and anticipate the needs of executives.
