Executive Assistant
<p>The Senior Executive Assistant provides advanced, high-level administrative and organizational support to senior executives and leadership teams. This role is pivotal in proactively managing complex calendars, orchestrating meetings and travel, preparing sensitive documents, and serving as a trusted liaison between executives, stakeholders, and internal teams. The Senior Executive Assistant demonstrates exceptional judgement, professionalism, and discretion, ensuring seamless day-to-day operations and anticipating the needs of executives in a fast-paced, dynamic environment.</p><p><strong>Key Responsibilities:</strong></p><ul><li>Manage complex calendars and coordinate high-volume meeting and event scheduling, including international and multi-time zone engagements.</li><li>Organize detailed travel arrangements, itineraries, and expense reporting for executives, ensuring efficiency and accuracy.</li><li>Prepare, edit, and proofread confidential correspondence, presentations, and reports with a keen attention to detail.</li><li>Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications.</li><li>Proactively anticipate executive needs, addressing issues before they arise to ensure executive preparedness and effective workflow.</li><li>Collaborate with cross-functional teams on special projects, research, and event coordination.</li><li>Oversee confidential and time-sensitive information, consistently exercising discretion and sound judgement.</li><li>Manage and track critical deadlines, priorities, and action items to facilitate executive decision-making.</li><li>Support board meeting preparation, including agenda development, materials distribution, and minutes documentation as required.</li><li>Mentor and provide guidance to junior administrative staff, promoting best practices and efficiency.</li></ul>
<p><strong>Requirements:</strong></p><ul><li>5+ years of experience supporting C-level executives or senior leaders, preferably in a large corporate environment.</li><li>Bachelor’s degree or equivalent combination of education and experience preferred.</li><li>Superior organizational, multitasking, and time management skills with the ability to prioritize under pressure.</li><li>Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting technology.</li><li>Excellent verbal and written communication skills; adept at drafting and editing executive-level documents.</li><li>Outstanding professionalism, integrity, and ability to handle highly confidential information.</li><li>Proven track record of anticipating needs and taking initiative in a proactive manner.</li><li>Demonstrated ability to work independently and collaboratively within a high-performance team environment.</li></ul>
