Event Coordinator
We are looking for an organized Event Coordinator to support the planning and delivery of engaging programs and gatherings. This Long-term Contract position is well suited for someone who can balance logistics, communication, and guest experience while managing several priorities at once. The role calls for someone who works effectively in a remote environment and represents the organization well when interacting with sponsors, donors, volunteers, and leadership.<br><br>Responsibilities:<br>• Plan and coordinate event activities from early preparation through post-event follow-up, ensuring each detail is executed smoothly.<br>• Oversee attendee-facing logistics such as registration, check-in, guest assistance, and on-site visitor support to create a positive event experience.<br>• Manage multiple event timelines, schedules, and deliverables at the same time while keeping projects on track and organized.<br>• Prepare communications, presentations, tracking documents, and event materials using Microsoft Office applications including Teams, Outlook, Excel, and PowerPoint.<br>• Use event technology platforms, registration tools, database systems, and Mailchimp to support outreach, reporting, and participant management.<br>• Collaborate with volunteers, board members, sponsors, donors, and internal stakeholders to coordinate event needs and expectations.<br>• Address last-minute issues with sound judgment and strong customer service, helping events run efficiently with minimal disruption.<br>• Participate in occasional evening events and travel locally, with potential for limited out-of-state travel as needed.
• At least 2 years of experience in event planning, nonprofit support, association environments, administrative coordination, or a related field is preferred.<br>• Demonstrated ability to handle several projects simultaneously while maintaining accuracy and meeting deadlines.<br>• Proficiency with Microsoft Office Suite, especially Teams, Outlook, Excel, and PowerPoint.<br>• Experience working with event registration systems, database platforms, Mailchimp, and similar event-related tools.<br>• Strong organizational skills and close attention to detail in both planning and execution.<br>• Ability to work independently with limited supervision in a remote or virtual work setting with an established home office.<br>• Effective problem-solving skills, strong customer service instincts, and the ability to communicate professionally with high-level external and internal contacts.<br>• Reliable transportation for local event travel and flexibility to work occasional evenings and some out-of-state trips when required.
