Project Coordinator
We are looking for a Project Coordinator to support departmental initiatives and help keep projects organized, on schedule, and well documented in Newark, California. This Long-term Contract position works closely with leadership to coordinate reporting, administrative workflows, staffing support, inventory activities, and cross-functional communication. The ideal candidate brings strong organizational judgment, follows through on multiple priorities, and builds effective working relationships with internal teams, customers, and vendors.<br><br>Responsibilities:<br>• Coordinate project timelines, status updates, and documentation to help ensure work progresses efficiently and resources are used appropriately.<br>• Prepare and maintain reports, track key activities, and communicate project information clearly to department leadership and stakeholders.<br>• Support managers with day-to-day operational coordination, including administrative processes, paperwork flow, and follow-up on action items.<br>• Partner with internal departments, customers, and external vendors to facilitate communication, resolve issues, and keep initiatives moving forward.<br>• Assist with recruitment-related activities such as coordinating hiring steps, onboarding logistics, and orientation support for new team members.<br>• Monitor compliance-related administrative tasks, including timely collection of evaluations, required documentation, and departmental training follow-up.<br>• Oversee supply and equipment tracking, help organize inventory reviews, and contribute to cost-monitoring updates for staff and leadership meetings.<br>• Plan and coordinate meetings, workshops, and departmental events, including scheduling, materials preparation, and onsite support as needed.<br>• Take ownership of assigned special projects, provide progress updates, and complete additional related duties within established deadlines.
• High school diploma or equivalent required; bachelor’s degree preferred.<br>• Previous experience in project coordination, administrative operations, or department support within a healthcare, hospital, or clinic environment is preferred.<br>• Strong organizational and problem-solving abilities with the capacity to manage several shifting priorities at the same time.<br>• Effective written and verbal communication skills, with the ability to interact professionally with managers, staff, customers, and vendors.<br>• Ability to work independently, follow direction, and collaborate successfully across teams.<br>• Sound judgment and discretion when handling confidential information and sensitive personnel matters.<br>• Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint.<br>• Familiarity with reporting, compliance tracking, office procedures, and documentation management is highly valued.
