Data Coordinator
<p>We are looking for a detail-oriented Data Coordinator to support donor records, gift processing, and advancement operations in San Mateo, California. This Long-term Contract position is ideal for someone who is highly accurate, comfortable working with data systems, and able to manage multiple administrative priorities during a busy fundraising period. The person in this role will help maintain reliable advancement data, support stewardship activities, and partner with internal teams to keep donor information and financial records organized and up to date.</p><p><br></p><p>Responsibilities:</p><p>• Enter and review donor contributions, acknowledgements, and related records to ensure complete and accurate documentation across advancement activities.</p><p>• Monitor data quality through recurring audits, cleanup efforts, and process checks that strengthen consistency within donor and gift records.</p><p>• Support monthly reconciliation and reporting activities by preparing gift batch exports and coordinating with finance partners on proper revenue coding.</p><p>• Maintain constituent information in the database, including updates to funds, classifications, appeals, and other supporting data elements as assigned.</p><p>• Prepare donor correspondence, acknowledgment materials, and mailing support for both digital and printed outreach efforts.</p><p>• Assist with event-related data tasks, including attendance tracking, follow-up communications, payment reminders, and gift entry connected to donor events.</p><p>• Contribute to procedure documentation and recommend practical improvements that enhance data accuracy and stewardship workflows.</p><p>• Provide administrative support to the advancement team through meeting preparation, research assignments, supply coordination, and other departmental tasks as needed.</p>
• 3+ years of experience in data entry, administrative coordination, or donor database support.<br>• Strong accuracy and attention to detail when handling numeric entry, financial coding, and record maintenance.<br>• Demonstrated comfort with computer-based data entry systems and the ability to learn department-specific platforms quickly.<br>• Ability to manage confidential information responsibly while maintaining organized and dependable records.<br>• Effective written and verbal communication skills for preparing correspondence and collaborating with internal stakeholders.<br>• Proficiency in typing and performing high-volume data entry with consistent speed and precision.<br>• Tech-savvy approach with the ability to troubleshoot routine issues and adapt to changing priorities in a fast-paced environment.
